Data deletion & privacy requests
This page explains how you can ask The United World Colleges India National Committeeto delete your personal data, and the other rights you have over your information under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”).
How to request deletion of your data
Email maria.fernandes@in.uwc.org from the email address on your application, with the subject line “Data deletion request”. Please include:
- your full name as on the application;
- your Application ID (shown on your application home), if you have one; and
- the email address and/or phone number you used.
We will acknowledge your request within 48 hours and complete the deletion within 30 days, subject to the retention limits below. Once deleted, your application data cannot be recovered.
What personal data we hold
When you apply, we collect and process: your name, email address, phone number, date of birth, postal address, the answers and essays you submit, uploaded documents and marksheets, your photograph, your college preferences, and the details of the parent/ guardian and teacher you invite. This data is encrypted at rest and used only to assess your application and to communicate with you about it (by email and, where you have opted in, WhatsApp).
Your rights under the DPDP Act
- Access & information — a summary of the personal data we hold about you and how it is processed.
- Correction — to correct inaccurate, incomplete or outdated data. While your application is open you can edit most of this directly in the portal.
- Erasure — to have your personal data deleted when it is no longer needed for the purpose it was collected, subject to legal retention obligations.
- Grievance redressal — to raise a concern with our Grievance Officer (below) and receive a response.
- Nomination — to nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
Withdrawing your consent
You may withdraw the consent you gave when registering at any time — it is as easy to withdraw as it was to give. Email the address below, or reply STOP to any WhatsApp message to stop WhatsApp notifications. Withdrawing consent will end further processing of your data for your application and may mean we can no longer consider it.
How long we keep your data
We keep your application data only as long as necessary for the admissions cycle you applied to, and for any period we are required to retain records by law. After that, or on a valid erasure request, it is deleted. Some minimal records (for example, audit and security logs) may be retained for the period required by law even after your application data is removed.
