Privacy Policy

The United World Colleges India National Committee(“we”, “us”) operates this admissions portal to receive and assess applications to the United World Colleges. This policy explains what personal data we collect, how we use and protect it, who we share it with, and the rights you have under India’s Digital Personal Data Protection Act, 2023 (the “DPDP Act”). By creating an account and giving consent, you agree to this policy.

Data we collect

  • Contact & identity: name, email address, phone number, postal address.
  • Date of birth (collected after consent, to confirm eligibility).
  • Application content: your answers, essays, college preferences, uploaded documents and marksheets, and your photograph.
  • Parent/guardian and teacher details that you provide when you invite them.
  • Technical/usage data: IP address, browser and device information, and session cookies used to keep you signed in.

How we use your data

We process your data to register you, assess your application, verify eligibility, take references and parental consent, collect any application fee, and communicate with you about your application by email and (where you opt in) WhatsApp. We also use limited technical data to keep the portal secure and working.

Consent & children’s data

We process your data on the basis of the consent you give during registration. Many applicants are under 18; for them, we require the verifiable consent of a parent or legal guardian, captured through the portal, and we do not undertake any tracking, behavioural monitoring or targeted advertising directed at children.

Who we share it with

We share your application with the United World Colleges for the purpose of admissions. We also use trusted service providers strictly to run the service — for example a payment gateway (to process the application fee), and email/WhatsApp messaging providers (to send notifications). These providers process data on our instructions. We do not sell your personal data.

International transfers

Because the UWCs are located in India and abroad, your application may be shared with colleges outside India for admissions purposes, with appropriate safeguards and not to any country restricted under the DPDP Act.

How we protect your data

Personal data is encrypted at rest and transmitted over secure (HTTPS/TLS) connections. Access is restricted on a need-to-know basis, and actions on the portal are logged. No method of transmission or storage is completely secure, but we use appropriate technical and organisational measures to safeguard your data.

How long we keep it

We keep your application data only as long as necessary for the admissions cycle you applied to and for any period required by law, after which it is deleted. Minimal security/audit logs may be retained for the period required by law.

Your rights

Under the DPDP Act you can:

  • access a summary of your personal data and how it is processed;
  • correct inaccurate or incomplete data (much of it is editable in the portal);
  • request erasure of your data — see how to request deletion;
  • withdraw consent at any time (as easily as it was given);
  • raise a grievance with our Grievance Officer; and
  • nominate another person to exercise your rights if you die or are incapacitated.

To withdraw consent for WhatsApp messages, reply STOP to any WhatsApp message; for email or all processing, contact the Grievance Officer below. We acknowledge requests within 48 hours and aim to resolve them within 30 days.

Cookies & analytics

We use necessary cookies to keep you signed in and to remember your cookie choice. On our public pages we also use, subject to your choice, Google Analytics (with IP anonymisation, no personal data) to understand usage, and Meta Pixel and Google Ads to measure our advertising campaigns and conversions — the latter send only anonymous conversion signals, never your name, email or application details. Analytics and marketing cookies are never used inside your signed-in application. You can accept or reject the analytics and marketing categories at any time via the cookie banner or the Cookie Policy, which lists every cookie in detail.
